LETTER TO SPONSOR WITH CYSTIC FIBROSIS INFORMATION

This attached letter template is available for Great Escape entrants to use in sourcing support. It should be customize with your details, a second page is included with information on Cystic Fibrosis.

MEDIA RELEASE TEMPLATE

The attached Media Release template can be adapted to help you communicate to the media. Make sure you add information about your car and crew, details of how you are raising your fundraising money and how people can donate.

Send the media release to all your local media and make sure you follow up. Also give a copy of the Cystic Fibrosis Information page before an interview so that you get the key points out about what Cystic Fibrosis is and where the money goes. Make sure you have your contact information on the release and let them know about any fundraising events you are holding.

Here are some great ideas to help you to achieve the following:

1. Achieve your Sponsorship Target
2. Promote The Great Escape and Cystic Fibrosis.

Mention the website in all of your correspondence to sponsors, invitations for fundraisers etc. This will allow people to see what the Great Escape is all about.

Unveil your Car & Fundraise!

Create a fundraising event around the official unveiling of YOUR CAR. You could then follow this up with a fundraising dinner, trivia night etc. Invite the local TV, Radio, Newspaper.

Invitations

To encourage people to come to your fundraising events send them an invitation. Invitations should include:

• Where, when and what the event is.
• That is supports your entry into the Great Escape Car Rally and Cystic Fibrosis Australia.
• The rsvp/booking deadline date.
• Your contact details ie name, phone, email.
• Highlight any personalities coming along or special plans you have which could be a draw card.
• If an auction is to be held mention what great items that you may have.

Media

Invite the media to your events, give them at least a 2 weeks notice and follow up just prior to the event. Ask the media to help promote you and your crew. In your newspaper articles, radio interviews etc include the following:

• What the Great Escape is.
• Brief information on what Cystic Fibrosis is and where the money goes.
• How people can donate. ie your contact details or Cystic Fibrosis Australia.
• Mention the Great Escape webpage www.thegreatescape.org.au

Ask the Public for donations in your Press & Radio:

Nominate an entrant in your crew. In press article put the following line:

"The 2007 Cystic Fibrosis Great Escape Car Rally aims to top the $340,000 raised in 2006. With your help we will get there! If you would like to make a tax-deductible donation to Cystic Fibrosis Australia and help the fundraising target. Contact: Insert your name and contact phone number and email here. Donations however large or small are greatly appreciated.

Ask to media for promotional suggestions/opportunities they may be able to help you with.

Auction Items

A letter can also be sent to businesses/suppliers asking them to donate auction items. Rather than just asking over the phone send a letter/email to the right person and giving them an overview of the rally and your event and then follow up with a phone call.

You may have more luck if you ask people in person.
